Why do secondary schools cost more (+50p per pupil)?
Secondary schools require significantly greater effort and complexity:
Historical data volume: Secondary schools retain 7+ years of pupil data (Years 7-13 plus alumni), compared to 4-6 years for primary schools. This means larger SARs, more complex searches, and deeper retention requirements.
Exam board coordination: GCSE, A-Level, and BTEC data processing involves multiple external processors (AQA, Edexcel, OCR, etc.), requiring additional DPIA coverage, data sharing agreements, and breach protocols.
Post-16 consent complexity: Pupils aged 16+ have independent data rights separate from parental authority, requiring dual communication frameworks and more nuanced consent management.
Staff data complexity: Larger staff teams, more complex HR structures, performance management systems, and union involvement increase the scope of employment data processing.
Third-party data sharing: Secondary schools typically share data with more external agencies (colleges, apprenticeship providers, social services, youth offending teams, careers services) requiring more extensive data sharing agreements.
The 50p premium ensures we can dedicate appropriate time to these additional requirements whilst maintaining the same high service standards.
Multi-Academy Trusts
How MAT pricing works:
MATs calculate based on aggregated pupil count across all schools, with pricing determined by each school's phase:
- Primary schools within the trust: Calculated at primary rates (£2.00, £2.95, or £3.95 per pupil)
- Secondary schools within the trust: Calculated at secondary rates (£2.50, £3.45, or £4.45 per pupil)
Example: A 5-school MAT with 3 primaries (900 pupils) and 2 secondaries (1,600 pupils):
- Primary pupils: 900 × £2.95 = £2,655
- Secondary pupils: 1,600 × £3.45 = £5,520
- Total: £8,175/year (before trust discount)

How is pupil count calculated?
We confirm your exact pupil count at quotation stage. At renewal we use your original count or the latest October Census, whichever applies. For MATs it's the aggregated total.
What if our pupil numbers change mid-year?
Annual pricing is fixed at sign-up. We reconcile at renewal based on your new October Census.
Do we pay monthly or annually?
Annual payment preferred (invoice + 30 days). Monthly Direct Debit available on request at no extra charge.
Can we change tiers mid-contract?
Yes. Upgrades take effect immediately. Downgrades apply at renewal.
What's included in onboarding?
All tiers include: baseline audit, gap analysis, portal setup, policy deployment, and team introduction — completed within 30 days.
Are there setup fees?
No setup fees. No hidden costs. Just per-pupil annual pricing.
What's not included?
Legal representation, litigation support, IT security services, and cybersecurity audits are out of scope.
Do you offer trust discounts?
Yes. MATs with 10+ schools receive volume discounts — see the MAT discount structure above.
Can we cancel?
30 days' notice required. No cancellation fees. We'll provide a handover pack.
What happens if we exceed our SAR allowance?
Advisory tier includes 5 redactions. Additional SARs are £150 each, or upgrade to Comprehensive for unlimited.
